South Hill Death Records Office

South Hill does not have its own city government or vital records office. It is an unincorporated area, which means Pierce County handles all local government services. For death records, that means you go to the Tacoma-Pierce County Health Department. They hold certified death certificates for all deaths occurring in Pierce County, including South Hill. Their records go back to 1907. For very recent deaths, the funeral home may still be processing the certificate, so it is worth checking with them first.

The health department issues several types of death certificates. A long form includes cause and manner of death. A short form is for basic legal use like estates or insurance claims. An informational copy has no legal standing but is useful for family history research. Anyone can get the informational copy. Certified copies go only to qualifying family members, legal representatives, and others with a legal interest in the record.

There are three ways to get a death certificate for a South Hill resident. You can order online through VitalChek, request by mail, or go in person to the health department in Tacoma. Each method works for the same records; the main differences are speed and cost.

Online ordering through VitalChek is the fastest remote option. VitalChek is the only contracted vendor for Washington State vital records. You submit your request and payment online. Processing takes about 3 to 7 business days once your order is confirmed. The total cost for an online order is $48.50, which includes the $25 base certificate fee, a $12.50 health department processing fee, and an $11.50 VitalChek fee. You can add identity authentication for an extra $3. You can start an online order at VitalChek's Pierce County vital records page.

Mail requests go to the health department at 3629 South D Street, Tacoma, WA 98418. Include a completed request form, a photocopy of your ID, documentation of your relationship to the deceased, and a check or money order for $25 per certificate. Mail orders take several weeks to process. Do not send cash. Make checks payable to Tacoma-Pierce County Health Department.

In-person requests are the fastest option. Go to the Tacoma office during business hours. Bring your ID and relationship documents. Same-day service is typically available. This is the best option when you need the record quickly for estate matters, insurance claims, or other time-sensitive purposes.

Note: The $25 fee per certificate is nonrefundable under Washington State law, even if the record cannot be found.

Washington State Death Records Resources

South Hill residents have access to the same state-level death records resources as any other Washington community. The Washington State Department of Health holds records from 1907 to the present. Under RCW Chapter 70.58A, death records are not subject to public inspection under the Public Records Act. Access is limited to qualifying family members and those with a documented legal interest.

Washington issues three types of death certificates. The long form includes cause and manner of death and requires proof of a qualifying relationship. The short form has basic identifying information and is used for most legal purposes. The informational copy is available to anyone but cannot be used for legal purposes. It carries a watermark stating it is for informational use only. Genealogists and family researchers typically use the informational copy since it has no eligibility restrictions.

For older records, FamilySearch offers free access to Washington death certificates from 1907 to 1960 and the death index through 2020. These can be searched at familysearch.org. The Washington State Digital Archives at digitalarchives.wa.gov provides free access to over 49 million searchable records including Pierce County death records going back to the 1890s.

Note: For deaths that occurred within the last two months, contact the Tacoma-Pierce County Health Department directly, as the state may not yet have the record on file.
